A packing list is an essential document for customs, but also for the recipient. Failure to attach it may cause a delay in delivery, unnecessary hassle, payment of storage fees, and even delays in future shipments.

What is a Packing List and why do you need it?

According to customs regulations, it is mandatory to attach to every multi-package shipment (starting with two packages or more) a contents specification on the sender's logo paper indicating the quantity of the packages and the contents of each package, including the identification number of each item contained in it (if any), as well as the dimensions and weight of each package. The specifications allow the customs to know in detail what each package contains, especially for the purpose of physical inspection (sample or full) of the contents of the shipment. 

If it is decided to perform a physical inspection of a particular item in the shipment, and there is a packing list, the inspector will immediately know which package to access and inspect, and therefore, the inspection will usually pass quickly and without unnecessary delays.

What are the details that should appear on the Packin List?

  • Details of the contents of the packaging - will be written on the exporter's logo page
  • Buyer's Name
  • Date
  • Number of packages
  • Packaging Type
  • Identification numbers of the goods (mainly in electronics and electrical products)
  • Weight of each package
  • Dimensions or volume of each package
  • The contents of each package by specifying the packaging number

Please note!

  • The packages on the list should be numbered and the number should be prominently written on each package.
  • Ask the overseas sender to attach a full packing list to the shipment, and mention this in any communication regarding the shipment. Demand to receive it by email before the shipment is issued.

  • But in the past I sent shipments without a packing list and they went smoothly...

It is possible that in the previous shipment a request was not made to receive the specifications from various agencies (for example, the shipment is not required for physical inspection), however, this requirement may cause delays and unnecessary expenses. In addition, the specifications will also help you with receiving the shipment, make sure your order has arrived in full, and manage it in your warehouse.

  • And what if there is only one package in the shipment?

In that case, there is no need for a packing list. The detail in the account is a specification and is absolutely satisfactory.

  • When shipping with 50 identical items in separate packages, is a Packing List needed?

If the items are exactly the same, there is no need: but if each item carries a different serial number, such as a cellphone for example, it is mandatory to attach a contents specification.
