How online sellers can prevent common addressing errors

When a parcel in Kenya does not arrive on time, it has not necessarily been lost. Often, the delivery team simply needs more information.

Figures from the Courier Industry Association of Kenya, cited in the government’s National Addressing Policy, show that 58% of mis-deliveries are delayed while the sender or recipient provides additional details. Another 17% are linked to an incorrect address on the parcel label.

That is why getting the address right matters.

A Kenyan postal code, P.O. Box and physical address each serve a different purpose. The postal code identifies the post office serving an area. A P.O. Box directs mail to a secure box at that post office. Only a physical address tells a courier where to find the recipient.

This guide explains how each part works, provides postal codes for Nairobi and Kenya’s main towns, and shows you how to write a delivery address that helps your shipment reach the right door the first time.

What does a Kenyan postal code identify?

A Kenyan postal code is a five-digit number linked to a post office. It does not identify a specific street, estate or building.

The Postal Corporation of Kenya, commonly known as Posta, introduced postal codes in 2001 after the previous P.O. Box numbering system reached capacity. Today, each code points to the post office responsible for serving a particular area.

For example:

  • 00100 is used by the Nairobi General Post Office.

  • 80100 is used by the Mombasa post office.

Postal codes in the same region often share the same opening digit. Nairobi codes generally begin with 0, while Mombasa codes begin with 8.

A single neighbourhood may be served by more than one post office. Areas such as Kilimani and Kileleshwa do not have a post office of their own, so their postal code depends on the post office that serves the specific location.

If an international website asks for a ZIP code or postcode, enter the relevant five-digit Kenyan postal code.

Remember, though, that a postal code takes a parcel to the correct delivery area. It does not identify a particular building. DHL Express delivers to the name and address provided by the shipper, so the postal code must be used together with clear physical address details.

Postal codes for Nairobi and Kenya’s main towns

The table below includes postal codes for several of Kenya’s most frequently used towns, along with selected Nairobi post offices.

The Nairobi examples also show why postal codes follow post offices rather than neighbourhood boundaries. For instance, Sarit Centre is in Westlands but has its own postal code.

Postal codes can be added or updated as the postal network changes. Before printing large batches of shipping labels, confirm the current code.

Whichever town your parcel is travelling to, from Nairobi to Mombasa, Kisumu to Eldoret, the postal code is only one part of the address. The physical location still needs to be clear.

P.O. Box or physical address: which one does a courier need?

A P.O. Box address usually combines the box number with the post office code, for example:

P.O. Box 12345-00100, Nairobi

This identifies a locked box at a post office. It is suitable for letters and parcels handled through the postal system, but it does not tell a courier where to find the recipient.

DHL Express does not deliver to P.O. Boxes. For courier deliveries, you need a physical address.

A physical address should include the details that help the courier locate and access the delivery point, such as:

  • Building or house name and number

  • Floor, apartment or unit number

  • Road or street name

  • Estate or neighbourhood

  • Town

  • A nearby landmark, where useful

Addressing can be challenging in parts of Kenya, particularly where roads are unnamed or buildings are not clearly marked. In these locations, a recognised landmark and a working phone number can be just as important as a street number.

For example, “near Yaya Centre” or “opposite the chief’s camp” may help a courier locate a property more quickly than an estate name alone.

The recipient’s phone number should also be included on the shipment. If they are unavailable, DHL On Demand Delivery gives them options to reschedule the delivery, redirect it to another address or office, leave it with a trusted contact, or collect it from a DHL Service Point.

Delivery notifications and these options are sent by SMS, WhatsApp or email, so the contact details on the shipment must be accurate and active.

How to write a Kenyan delivery address

For a smooth delivery, enter the address in the following order, using one line or form field for each section:

  1. Recipient’s full name and phone number, beginning with +254

  2. Building or house name and number

  3. Floor, apartment or unit number

  4. Road or street name

  5. Landmark, if the road is unnamed or difficult to find

  6. Estate or area

  7. Town and the relevant postal code

  8. Kenya

Here is an example:

Amina Otieno, +254 7XX XXX XXX
4th Floor, [Building Name], opposite [Landmark]
[Road Name], Westlands
Nairobi 00800
Kenya

For international checkout forms that ask for a ZIP code or postcode, enter the postal code of the post office serving the delivery area. Do not put a P.O. Box in the street-address field.

If the form provides only two address lines, use the second line for the floor, apartment or unit number and any useful landmark.

Online sellers can transfer these same details directly to a DHL Express waybill. This reduces the risk of information being lost between checkout, order processing and dispatch. See how to create a waybill for your shipment.

Three address problems online sellers can prevent

1. Leading zeros disappear from postal codes

Many Nairobi postal codes begin with 0. If a spreadsheet or order-management system treats the postcode as a number, it may remove the first zero. For example, 00100 could appear as 100 on the shipping label.

Store postal codes as text, not numbers, in your ecommerce platform, spreadsheets and order-export files.

2. The P.O. Box is entered instead of the delivery address

A P.O. Box does not give a courier a physical delivery point. Make the physical address a required field and provide a separate, optional field for the customer’s postal address or P.O. Box.

This simple distinction can prevent delays while the delivery team tries to establish where the customer is located.

3. The area is provided without a phone number

“Kilimani” or “Nyali” identifies an area, not a specific door. A phone number helps the courier confirm directions, resolve access issues and contact the recipient about delivery arrangements.

Make the phone number mandatory, and ask customers to provide a number that accepts calls and delivery notifications.

Frequently Asked Questions

Possibly. It depends on what the parcel contains and its declared value. When the shipment arrives in Kenya, Customs assesses any applicable duties and taxes before the parcel is released for delivery. Your address determines where the shipment is delivered after clearance; it does not determine the customs charges.

To understand the charges that may apply, read about what import duty is and how it is calculated.

Yes. With MyDHL Express, your online shop or ERP system can connect directly to DHL, allowing order and customer details to flow into shipment creation automatically. That means less manual data entry, fewer delays and one less opportunity for an address to be entered incorrectly.

Use the address format and postcode required in the destination country. Include the recipient’s full name, a working phone number and a complete street address. DHL Express cannot deliver to P.O. Boxes, so a physical delivery address is required.
