Shipping Documentation and Terminology

Established by the International Chamber of Commerce (ICC) to standardise international commercial transactions, Incoterms® – or "International Commercial Terms" are a globally recognised set of standards used worldwide in both international and domestic contracts for the delivery of goods.

Harmonized System (HS) codes are a unique identifier to classify the exact type of goods you are shipping.

A pro forma invoice is a document that states the offer or preliminary bill from the seller to provide specific products at a given price. Unlike a commercial invoice, this document is not legally binding.

A commercial invoice is a specialised export document that acts as a customs declaration for items being delivered across international borders. It includes comprehensive information on the goods, their value, and the transaction between the customer and the supplier.

Prohibited goods are strictly banned from entry into a country under any circumstances, while restricted items are permitted for import if you hold the correct permits or meet specific conditions.

An Air Waybill (or “Waybill”) is a document issued by a carrier and attached to a shipment. It includes important details like the sender’s and recipient’s name and address, a description of the goods, and who is liable to pay the duties and taxes.

A certificate of origin refers to a shipping document that states and certifies where the exported goods were made to meet customs requirements or regulations.

In customs and international trade, de minimis refers to the value threshold below which imported goods are exempt from duties and taxes. Simply put, it’s the limit that determines whether a shipment is taxed when entering a country — a key concept for any business engaged in international shipping.

Customs duties are taxes that customs authorities charge on goods when they cross international borders. It’s a way for governments to generate revenue, but it also helps protect local industries by making imported products more expensive than those produced domestically.

A Phytosanitary Certificate is issued by a Government agency (usually Agriculture) to satisfy import regulations of foreign countries. It indicates that a shipment has been inspected and found free from harmful pests and plant diseases.

An Importer of Record (IOR) provides a service for situations when a company is importing goods into a country where it has no representation and/or it wants the asset to remain the property of the exporter/shipper/origin company.

Dangerous Goods (also known as hazardous material or hazmat) are articles or substances capable of posing a hazard to health, safety, property or the environment.

The bill of lading is a document reflecting the agreement between the shipper and the carrier on which the goods are transported.

DHL Express Services and Products

DHL Express GoGreen Plus is a dedicated solution to help businesses reduce the carbon emissions on a book and claim basis from air transports through the use of Sustainable Aviation Fuel (SAF). In contrast to ‘offsetting’ – where businesses ‘neutralize’ their emissions through environmental programs – GoGreen Plus is ‘insetting’. Insetting’s impact is greater because it directly reduces emissions within a company’s value chain, resulting in significant reductions in scope 3 emissions.

DHL Express shipping insurance provides financial protection against the physical loss or damage of goods during transit. Opting for this insurance can help you safeguard your shipments' monetary value, especially when shipping fragile items and to prevent damage, ensuring peace of mind and reducing potential financial setbacks from unforeseen shipping incidents.

Cold chain pharmaceutical logistics refers to the management of a supply chain that is kept at a specific temperature or humidity to ensure that the drug or chemical in question is kept fresh and ready to use upon delivery.

DHL Express On Demand Delivery (ODD) is a free and innovative service to give you more flexibility and control so that your daily life is not constrained by having to wait passively for your deliveries when you should be doing something or being somewhere else. As the name suggests, on-demand deliveries are sent to customers through the linking up of manufacturers, e-commerce businesses, and logistics service providers, allowing customers to not only decide where and what they want to buy, but how it should be delivered.

Last mile delivery represents the final leg of a product's journey, from a transportation hub or local depot to the consumer's door. While often the shortest distance, it is paradoxically the most complex and expensive part of the last-mile logistics process, bearing the highest impact on customer satisfaction and brand loyalty.
